Why Facebook leads die in spreadsheets

You run a Facebook Lead Ad. Someone fills in the form. What happens next?

In most businesses: the lead lands in Facebook's Lead Centre (or a spreadsheet your marketing agency sends you weekly), someone manually copies it into a CRM or email, and eventually someone follows up, maybe the next morning, maybe Monday if the lead came in on Friday afternoon.

By then, the lead has gone cold. They've filled in three other forms. Someone else already called them.

In the meantime, feel free to reply to this message if you have any questions.

[Business Name]

Keep it short. Keep it human. Don't put pricing or long lists of features in the first message. The goal is simply to acknowledge them and let them know you've seen their enquiry.

Tools you'll need

  • Facebook Lead Ads: the ad format that captures leads within Facebook without sending users to a website.
  • Make.com or Zapier: the automation platform that connects Facebook to everything else.
  • WhatsApp Business API: required for automated sending. This is different from the regular WhatsApp Business app. Providers include Twilio, 360dialog and Meta directly.
  • A CRM: HubSpot has a free tier that works well for this. Pipedrive and Zoho CRM also integrate cleanly.

What about leads from your website, not Facebook?

The same principles apply. If your website form connects to Make.com or Zapier, you can trigger exactly the same workflow. Most CMS platforms (WordPress, Wix, Squarespace, Webflow) have integrations available.
