What Is BPA?

From Manual Handoffs to Seamless Automated Flows

Business process automation is the practice of mapping your core operational processes and replacing the manual, repetitive steps with automated logic. Rather than automating a single task, BPA automates the entire workflow, from the trigger event through every step to the final outcome.

This could be your client onboarding process, your sales pipeline, your monthly billing cycle, your new staff onboarding, your property listing management, any multi step process that currently requires humans to complete each step and pass it to the next person.

Common processes we automate end to end

  • Client onboarding: from signed contract to full setup
  • Sales pipeline: from lead to closed deal to invoice
  • Monthly billing cycle: from statement to payment to reconciliation
  • Property management: listings, viewings, applications, lease signing
  • Staff onboarding: documents, system access, training checklists
  • Procurement: approval, PO generation, delivery tracking, payment
  • Customer complaint handling: log, assign, resolve, follow up
  • Reporting: data collection, compilation, distribution on schedule
How It Works

Map, Design, Automate, Monitor

We take a structured approach to business process automation, ensuring every step is mapped, every handoff is designed and every exception is handled before going live.

1
Process discovery and mapping
We document the current process in detail: every step, every handoff, every decision point, every system involved. Nothing is assumed; everything is verified.
2
Automation design
We design the automated version of the process: which steps run automatically, which require human input, how exceptions are handled and how the system communicates with each person involved.
3
System integration
We connect the relevant systems: CRM, accounting, email, WhatsApp, project management, document storage, so data flows between them automatically without manual copying.
4
Build and test
The automation is built, tested extensively with real scenarios and refined until it handles every case correctly, including edge cases and exceptions.
5
Team training and handover
Your team is shown how the automation works, what they need to do (less than before) and how to spot if something isn't running correctly.
6
Go live and monitor
The automation goes live. We monitor it closely in the first weeks, making refinements as real world edge cases emerge. Ongoing support is available if needed.

"The businesses that benefit most from BPA are those that have grown to the point where their processes are costing them as much in management overhead as they're generating in output. Automating end to end processes, not just individual tasks, is what breaks that ceiling."

FAQ

Questions About Business Process Automation

Workflow automation typically refers to automating a specific task or trigger action flow. BPA takes a broader view, mapping and automating an entire end to end business process, including all the steps, decision points, handoffs and systems involved from start to finish.

Usually not. We build integrations that connect your existing systems. If a system doesn't have a usable API or integration capability, we'll flag it during scoping and discuss options, which might include a targeted tool replacement as part of the project.

All well designed BPA includes exception handling. We map the most common exceptions during the design phase and build automated handling for them where possible. Exceptions that can't be automated are flagged to the right person with all the context they need to handle it quickly.

BPA projects typically take 4 to 10 weeks depending on the complexity of the process, the number of systems involved and the number of exception scenarios. We scope clearly after the discovery phase so you know the timeline before we start building.

Yes, and we recommend it. Starting with one high impact process lets you see the value quickly, build confidence in the system and learn what works before expanding. Most clients automate additional processes after seeing results from the first.

We build automations with maintainability in mind. Minor process changes can usually be made without rebuilding from scratch. Significant changes are scoped as amendments. We offer ongoing support retainers for clients who want us to manage their automation infrastructure as it evolves.
